The Staff tab is where you add new employees, and edit existing employees, determine who can access the POS and store employee information such as Pay Rate, address, etc.
In order to access In Store Roles from your site, select the "People" section on the left hand menu, then select "In Store" and then the "Staff" tab will be the default selection.
Permission Requirements: View Staff, Add Staff, Edit Staff, Delete Staff
Optional Permissions: Sync Staff, Edit Test Staff, Edit System Staff
The following table provides information about fields in the Add Staff screen:
Click Save to apply the changes or click Cancel to discard the changes.
| Field | Description |
| Staff Id (Cannot be edited) | This is the database Staff ID of the user. |
| First Name (Required) | Enter the first name of the user. |
| Last Name (Required) | Enter the last name of the user. |
| Email (Required) | Enter the email address of the user. |
| Staff Role (Required) | Role: Select the POS role of the user. |
| Select Pay Class: Select a predefined pay class or set a custom wage. When using a custom wage, you will need to populate both the Wage (per hour) and the Overtime Wage (per hour). | |
| Primary Role: Select if this is the Primary Role for this user. | |
| Click + icon to add multiple roles for the user if applicable. Different roles can have different hourly and overtime rates. | |
| Quick Code (Required) | Enter the employee PIN (swipe card codes would go here). |
| Date of Birth | Enter the date of birth of the user. |
| SSN | Enter the Social Security Number of the user. This value will not be visible once saved. |
| Employee ID | Optional field for third party platforms that are taking in the TRAY Data API. |
| Phone Number | Enter the phone number of the user. |
| Original Hire Date | Enter the original hire date for the user. |
| Hire Date | Enter the updated hire date for the user (if the user is a rehire). |
| Termination Date | Enter the Termination date of the user. Once this termination date is met the user will no longer be able to access the POS and will show in the staff list under "Inactive" staff. |
| Marital Status | Enter the marital status of the user. |
| Ethnicity | Enter the ethnicity of the user. |
| Gender | Enter the gender of the user. |
| Address | Type in the address of the user. |
| Eligible Services | Specify which services the user can access from the POS. |
| Receipt Printers | Specify which receipt printers the user can access. |
| Cash Drawers | Specify which cash drawers the staff is eligible to access. |
| Swipe Only | This would restrict the user to only be able to use their swipe card. |
| Reservations Host | Select if you want to allow the user to host events. |
| Tip Share Eligibility | When selected, specifies that the user is eligible for tip sharing. |
| Test Staff |
Marks the user as a Test Staff. This flag prevents data for this user from transmitting in the TRAY Data API. This flag is reserved for administrative/help desk resources. Permission Requirements: Edit Test Staff |
| System Staff |
Marks the user as a System Staff. This flag prevents this user from being communicated to external integrations. This user will still transmit in the data API. Typically, this would be used for Web Ordering staff or Kiosk staff profiles. Permission Requirements: Edit System Staff |
To edit staff in bulk, select multiple existing employees using the checkbox next to the user and then select Bulk Edit Staff. The Bulk Edit Staff screen allows you to edit many variables. The "Update Existing?" checkbox, if checked, will overwrite existing values for currently selected staff. If you uncheck this box, any field which you are attempting to edit for many staff, if already populated for some staff, will be ignored during the bulk edit.
Once the information has been added or updated, you will need to Publish the information by using the blue “Publish” button at the top of the screen. Choose “Staff” and then click the black “Publish” button.
