Scheduled Publishing
The Scheduled Publishing functionality is a new feature that will allow a user with the appropriate permissions to create a schedule for when specific configuration changes will be published. These changes can be scheduled for an individual site, multiple sites, or for the entire Node.
This feature will be helpful when:
- An Admin would like to make changes to a site or group of sites without those changes going live immediately.
- An Admin who would like to make broad configuration changes across multiple sites (i.e. menu configurations), as the user will no longer have to publish those changes individually at the site-level (i.e. after an Enterprise Menu Push to multiple sites, broad menu item status changes, etc.)
Permission Requirements: View Scheduled Publishing, Add Scheduled publishing, Edit Scheduled Publishing, Delete Scheduled Publishing, Cancel Scheduled Publishing
NOTE: Scheduled Publishing must be enabled by a TRAY Administrator and is only visible at the Node level.
Viewing Existing Schedules
To view existing schedules, navigate to:
Node > Administration > Scheduled Publishing > Active Schedules
From this tab in HQ, you will be able to view any active or past schedules as well as create a new schedule.
Creating a New Schedule
To create a new schedule, begin by selecting the ‘Add Schedule’ button. From there, the user will be prompted to add a name (note: this name cannot be an existing or past schedule, so every time a schedule is created, the name needs to be unique).
The user will then add the relevant information required, including:
- Schedule Name
- Schedule Date (future date when the user would like the schedule to publish for sites in Production)
- Schedule Time (this time will be the local site time that the publish will execute)
- Select Store (this is the store that will have the configuration changes published; the user can select the entire Node, or individual stores can be selected)
- Select Configuration to Publish
The user will be able to select from the following configurations to publish:
When the user saves a new schedule, the schedule will then appear on the ‘Active Schedules’ list, where the user can edit or cancel the schedule as necessary. The status of the publish will show as "Pending".
The scheduled publish will begin executing once the first site selected reaches the corresponding local date/time of the publish. At this point, the status will change to "In Progress". The status button is also a hyperlink that you can click on to monitor the ongoing progress of the publish. You can also track the progress of the publish on the HQ Activity Tab for the details of what was created, published, and ultimately completed as part of the scheduled publish that was executed. The category on the HQ Activity report would be "Scheduled_Publishing"
When the user clicks on the ‘See Details’ link for a completed publish, they will be able to see the configuration changes that were published and their corresponding status.
Once you click on the Hyperlink of the config type for the publish, you will see an additional dialog that shows the status of the various time zones, if you are publishing for sites across multiple time zones. This time format will be displayed in IANA format (America/Chicago for Central Time)
Once again, clicking on the hyperlink for the Timezone will bring up an additional dialog that will display the status of the publish for the corresponding sites in that time zone. The statuses will either be:
- Success - Meaning the changes were successfully published
- Pending - Meaning the publish has not yet executed for this site
- Error - Meaning the publish failed for some reason
- No Change - Meaning no changes were detected at this site and therefore the publish was skipped
Canceling a Scheduled Publish
After a new schedule is created, if the user hits ‘Cancel’ on the 'Active Schedules' list, they will be prompted with a message asking the user to confirm their selection.
Once canceled, the schedule will appear on the ‘Past Schedules’ List with the appropriate ‘Canceled’ Status indicated and the user will be able to fully delete the record of the schedule if they wish to do so.
At the site level, on the publish indicator, there are info bubbles that show who most recently made changes or published changes for the corresponding configurations. If a scheduled publish executes at a site, the info bubble will show "Last Published By" "Administrator"
